AI data loss prevention for small businesses: four options compared on size, setup and cost

Four kinds of tool can stop staff pasting client data into ChatGPT and other AI sites: Microsoft Purview, enterprise browser security, tools built for small firms, and free browser extensions. For AI data loss prevention, a small business of 5 to 50 people will usually shortlist two of them. Which two depends on your Microsoft licences, whether you have an IT provider, and how much setup you can take on.

This guide compares the four on what matters to a small firm. Minimum seats. What you must already own. How long setup takes. What each one actually catches. We make one of the options, so we are not neutral. We say where the others are the better pick.

What AI data loss prevention means for a small firm

Data loss prevention is a name for tools that spot sensitive data and stop it leaving. For AI, that means checking what staff paste, type or upload into AI sites. Card numbers. Bank details. National Insurance numbers. Client names. Passwords.

A small firm needs the same protection as a large one. It does not need the same project. Most enterprise tools assume a security team, a long rollout and a large licence. That is where small businesses get stuck.

If you have not yet written a policy or chosen approved AI accounts, start there. Our proportionate guide to ChatGPT data protection for 5 to 100 people covers those first steps. A tool works best on top of them.

Prevention, not recovery

Some people search for AI recovery tools when they mean this. The two are different jobs. Backup and recovery tools bring files back after they are lost or locked. AI data loss prevention works before anything is sent. It stops client data reaching an AI site in the first place.

Once text is pasted into a public AI tool, you cannot pull it back. No backup undoes that. So for AI, prevention is the part that matters. Keep your backups too. They solve a different problem.

Prices and minimums change often. Check each vendor's own pages before you decide. Our side-by-side comparisons list what we found, with the date we checked.

Microsoft Purview

Purview is Microsoft's own data protection suite. It can label documents, watch for sensitive data and apply rules across Microsoft 365. It has AI features that cover Copilot and some other AI sites.

The catch is licensing. The fuller AI features sit with Microsoft's higher plans or add-ons. Many small firms are on Business Basic or Business Standard, which do not include them. Setup is also real work. Policies, labels and testing usually need someone who knows Microsoft 365 well.

Where Purview is the better pick. You already pay for the right plan. You have an IT provider who runs it. You want one Microsoft console for everything. Our piece on Purview for AI without E5 explains the routes in more detail. For a direct comparison, see Helio Guard and Microsoft Purview side by side.

Enterprise browser security

These tools sit in the browser and watch what happens on every website. Some replace the browser. Some add an extension. They can do far more than AI: phishing, risky downloads, unmanaged apps.

They are built for companies with security teams. Many are sold through a sales call. Some list prices publicly, often per user, and some set minimum seat counts. Setup ranges from simple to involved, depending on how much you switch on.

Where they are the better pick. You want broad browser control, not just AI. You have people to tune the rules. You are comfortable with a larger contract.

SMB-focused AI tools

This is the newest group. These tools only do the AI job, and they are priced and sized for small firms. Setup is usually an install on each PC and a short list of choices.

They differ in what they check. Some only check typed text. Some also check file uploads. Some block. Some take the sensitive part out so the question still goes. Ask each one these questions:

  • Does it check pastes, sent messages and file uploads?
  • Does it understand UK data, such as National Insurance and NHS numbers?
  • Is the checking done on the PC, or sent to the vendor?
  • Can it record staff agreement to your AI policy?
  • Which browsers and operating systems does it cover?

Rule of thumb: under about 50 people with no IT team, start with an SMB-focused tool. Already on a high Microsoft plan with an IT provider, compare Purview against one SMB tool.

Free browser extensions

Several free extensions hide names or numbers before you send a prompt. They are useful for one careful person. They are hard to rely on for a team.

Each person installs them, and each person can turn them off. There is usually no record for the business. Nothing to show a client, insurer or auditor. Some send text to their own servers to check it, so read the privacy notice. Our page on free redaction extensions sets out the differences.

Named tools and reviews

Many people look for the most-reviewed GenAI data loss prevention tools. GenAI just means AI that writes text, such as ChatGPT. Review counts help, but read them with care.

Most review sites reward tools that have been around longest. Most reviewers are larger companies with security teams. Their needs are not yours. A tool with hundreds of reviews may still need a sales call and a long setup.

Named tools you will meet include Microsoft Purview, Harmonic Security, LayerX, UpGuard User Risk, DefensX and ShadowLock. They sit in different groups above. We compare each with Helio Guard on our comparisons page, with the date we checked. We list them as examples, not as a ranking.

When you read reviews, look for three things:

  • Reviews from firms your size, not only large companies.
  • Comments on setup time and who did the setup.
  • Mentions of UK data, such as National Insurance numbers.

Then run a trial on a few PCs. A week of real use tells you more than any review.

How to shortlist two

Work through these in order.

  1. Check your Microsoft licences. If you already own the Purview features, it belongs on the list.
  2. Decide who sets it up. No IT provider means low setup effort matters most.
  3. List the data you worry about. Client names and UK identifiers need a tool that knows them.
  4. Ask what you must prove. Clients and insurers increasingly ask about AI controls. A monthly record helps.
  5. Count your devices. Note Windows, Mac and browsers in use.

Most small firms end up with an SMB-focused tool plus one other. That is usually Purview for Microsoft-heavy firms, or a browser security tool for firms that want more than AI.

Where Helio Guard fits

Helio Guard is an SMB-focused tool. An agent on each Windows PC adds an extension to Chrome and Edge. It checks every paste, sent message and file upload on listed AI sites. That includes Excel, Word, PowerPoint, PDF and text files. Sensitive items are swapped for labels, so the question still goes. Client names can become a stand-in such as "Client A", then turn back when the answer is copied.

Checked on the PC, with fixed rules rather than an AI model. We never see what your team types. Only a short record of the kind of data, site, person, outcome and time reaches your account. It also records each person's dated agreement to your AI policy and produces a monthly record for clients, insurers or auditors.

Where Helio Guard falls short. Windows only for now. No Mac. Chrome and Edge only. It covers AI sites, not general web security.

It costs £1 a person a month, from 5 people. 14 days free, no card needed. IT providers get partner rates. The pricing page has the current detail.

Common questions about AI data loss prevention

Do small businesses really need AI data loss prevention?

A small business needs AI data loss prevention once staff use AI with client or company data. A written policy sets the rules, but a tool catches the mistakes people make when busy. For firms holding personal data, a record of controls also helps answer clients, insurers and auditors asking how AI use is managed.

Is Microsoft Purview included in Microsoft 365 Business Standard?

Microsoft 365 Business Standard does not include the fuller Purview features used to control data going into AI sites. Those sit with higher Microsoft plans or paid add-ons. Licensing changes often, so check Microsoft's current plan pages or ask your IT provider which Purview features your licences actually cover before planning around them.

Are free AI redaction extensions safe to use at work?

Free AI redaction extensions can help one careful person, but they are weak as a business control. Each person installs and can disable them, and there is usually no central record. Some send text to the vendor for checking. Read the extension's privacy notice and decide whether that suits client data before allowing it.

Is AI data loss prevention the same as backup and recovery?

AI data loss prevention is not the same as backup and recovery. Backup tools restore files after they are lost. AI data loss prevention checks what staff paste or upload into AI sites and stops sensitive data before it is sent. Text pasted into a public AI tool cannot be recovered, so prevention is the control that matters for AI.

What are the most-reviewed tools for GenAI data loss prevention?

The most-reviewed GenAI data loss prevention tools tend to be older enterprise products, such as Microsoft Purview and browser security tools. High review counts often reflect large-company buyers. A small firm should look for reviews from businesses its own size, comments on setup effort and support for UK data, then trial a shortlist on a few PCs.
