Is it safe to paste payroll data into ChatGPT? What to strip out first
Pasting raw payroll data into ChatGPT is not safe. A payroll export holds names, National Insurance numbers, bank details and pay, and all of it is personal data under UK GDPR. You can still use AI on payroll work. Take the identifiers out first. Use a business account that does not train on your data. Put a written rule and a check in place.
What a payslip actually contains
A payslip looks routine. It is not. A typical payroll export carries:
- Full name and often home address.
- National Insurance number.
- Bank sort code and account number.
- Salary, overtime, bonus and deductions.
- Tax code and student loan plan.
- Pension contributions.
- Sometimes sick pay, maternity pay or court orders.
That last group matters most. Sick pay can point to health. A court order can point to debt. These are details an employee would never expect to see outside payroll.
A bureau export is worse. It covers many employers, not one. One paste can hold hundreds of people.
Why people want to paste payroll data into ChatGPT
The reasons are sensible. Bookkeepers want a messy export reformatted. Office managers want a month-on-month change summarised. Bureaux want a variance explained in plain words for a client.
AI does this well. The task is fine. The data going with it is the problem.
What happens to it on each ChatGPT plan
The plan decides what OpenAI may do with what you send. In broad terms:
- Free and personal paid plans. Chats can be used to improve models unless the person turns that off in settings. Your firm has no control over that switch.
- Business plans (Team, Enterprise). By default, business data is not used for training. Your firm controls the accounts.
Settings and terms change, so check OpenAI's own pages before you rely on them. We cover the detail in ChatGPT Team vs Enterprise vs free.
A business plan is not the whole answer. The data still leaves your computer. It is still stored by another company. And staff can still open a personal account in another tab.
When it becomes a UK GDPR problem
Payroll data is personal data. So UK GDPR applies the moment it is sent. The question is whether sending it was allowed.
It becomes a problem when:
- There is no lawful reason to share it with that tool.
- The tool is not covered by a proper contract with your firm.
- Staff are not told their data may go there.
- More data goes than the task needs.
- It goes into a personal account.
The last two are the common ones. Reformatting a column does not need anyone's NI number. Sending it anyway breaks the rule of using only what you need.
For a bureau, there is another layer. You process payroll on behalf of clients. Their contract with you may limit who else touches the data. Check it. Our plain-English guide to UK GDPR and AI tools goes further.
Rule of thumb: if the task works without the person's identity, take the identity out. Almost every payroll task does.
What to strip out first
Work down this list before any paste.
- National Insurance numbers. Never needed for a summary. Take them out.
- Bank details. Sort codes and account numbers. Take them out.
- Names and addresses. Swap names for stand-ins such as "Employee 1". Drop addresses.
- Employer names. For bureaux, use a stand-in such as "Client A".
- Sensitive pay lines. Sick pay, maternity pay and attachment orders. Remove them unless the task is about them.
- Employee numbers. Payroll IDs can be traced back. Replace them too.
What is left is usually enough. Amounts, dates, codes and stand-ins. The question still goes through.
A worked example
Priya runs payroll at Ashcombe. She wants a note on why October's total rose. The export has 24 rows. She deletes the NI, bank and address columns. She swaps names for Employee 1 to 24. She pastes the rest and asks for the main drivers.
The answer says Employee 7 had overtime and Employee 12 a bonus. Priya matches them back on her own sheet. Nothing identifying left the PC.
Doing this by hand works. It is slow and easy to miss a column. Our guide on how to redact sensitive data before pasting has practical methods.
Which controls make it acceptable
Stripping data relies on people remembering. Good controls make it the normal way to work.
- An approved business account. One tool, owned by the firm.
- A written AI policy. Say plainly that payroll identifiers never go in. Get each person's dated agreement.
- Short training. Show the strip-out list using a real export layout.
- An automatic check. Something on the PC that catches NI numbers and bank details before they are sent.
- A record. A note of what was caught and when, without the text itself.
This is what Helio Guard does. It checks each paste and upload on the PC, takes out items such as NI numbers and UK bank details, and lets the question still go. We never see what your team types. It is £1 a person a month, from 5 people, with a 14-day free trial and no card needed. You can see the details on our pricing page.
Common questions about payroll data and ChatGPT
Can I upload a payroll spreadsheet to ChatGPT?
Uploading a payroll spreadsheet to ChatGPT carries the same risks as pasting it. The whole file goes, including columns you did not mean to share. Delete NI numbers, bank details, names and payroll IDs from a copy first, then upload only the copy. Use a business account your firm controls, not a personal one.
Is ChatGPT Enterprise safe for payroll data?
ChatGPT Enterprise does not use business data for training by default, which removes one risk. Payroll data still leaves your firm and is stored by OpenAI, so UK GDPR still applies. You still need a lawful reason, a contract in place and only the data the task needs. Taking identifiers out first is still the safer habit.
Is pasting a payslip into ChatGPT a data breach?
Pasting a payslip into ChatGPT can count as a personal data breach if it was not authorised, for example into a personal account. Whether it must be reported depends on the risk to the employee. A payslip with an NI number and bank details is higher risk than one with just a salary figure.
